Create an account
Accounts are created by invitation. How to accept yours and get in.
🔑 Got an invitation to Vyer? Accept it, set a password and you land on the map. Accounts are created by invitation only, so if you have none yet, ask your administrator.
Accept your invitation
You cannot sign up on your own. An administrator in your organization invites you by email. The email is called You have been invited to join "your organization" on Vyer by … and has an Accept invitation button.
Create your login
Click Accept invitation in the email.
The page Create your Vyer Account opens. Your email is already filled in.
Enter your first name, last name and phone number. They are optional, but they help colleagues find you.
Choose a password of 8 to 255 characters.
Click Register.
You are signed in and land on the map.
Accept with your existing account
If your email already has an account, Accept invitation takes you to Profile settings. Sign in if asked. The new organization is listed under Pending invites. Click Accept invite.
If it doesn't work
The invitation has expired
An invitation is valid for 7 days. Ask the person who invited you to open the Members page and choose Renew invite. You get a fresh email.
You have not received an invitation
Contact your administrator, or email support@vyer.com.
Your organization signs in with single sign-on (SSO)
Your administrator creates your account in your company's identity provider, and you sign in with Sign in using your organization account. No invitation email is sent. See Sign in with your organization account (SSO).

Data coordination
For the person who keeps the structure together: members, asset types, data fields and exports.
🗂️ If you administer Vyer for your organization, you decide who gets access and how assets and fields are named. Most of this needs the Admin role.
Invite members and set roles
Invite people from the Members page under Organization settings. Editors create and edit, Viewers read and Admins configure. To limit a member to some sites, give them the Custom role. Invitations last 7 days; renew them from the same page.
→ Invite your colleagues · Roles and what you can do
Define asset types
Asset types decide what your assets are called, which fields they carry and which inspections they belong in. Set them up once under Asset types, following your own naming convention or an industry classification standard (in Sweden, AFF codes), and every technician inventories the same way.
Add data fields
Need a column your organization uses that Vyer does not have? Create a data field under Data fields and put it on sites, spaces, areas, assets, work orders or inspections. Text, number, date, link, label or checkbox.
Set the table layout for everyone
In any table, arrange the columns the way your organization should see them and choose Save as organization layout. 💡 New members get it by default.
Export for analysis
Every list can be exported as an Excel file with the filters you have applied, ready for a report or a check against another system.

Commercial management
For property and leasing managers: tenants, rental objects and the state of the portfolio.
🏢 For people who work with tenants, leases and the overall state of the properties. Share floor plans, mark rental objects and follow what tenants report.
Export a floor plan as PDF
Need a drawing for a meeting or a tenant? Open the floor, click the three dots in the toolbar and choose PDF export. You choose the scale and what to include: room labels, markers, map layers.
Mark rental objects as areas
An area is one or more spaces that belong together, for example a tenant's premises. Once areas are set up you can see at a glance which spaces belong to which contract, and color the floor plan by tenant.
Star your sites
Click the star next to the sites you are responsible for. They appear under My sites in the selector and in every list filter, and you can limit email notifications to them.
→ Star the sites you work with
Follow work requests
Everything tenants report through the public reporting form lands under Work requests. Filter by status, sort by date, and see who is handling what and when it was last updated.
Read the Dashboard
The Dashboard shows open work orders, ongoing inspections, response time for work requests and the most active sites across the portfolio. Click any number to open the list behind it.

Learn Vyer based on your role
Five ways people use Vyer. Pick the guide that matches your job.
🎯 Five guides show where to start in Vyer, depending on your job. Pick the one closest to yours; the others are there when you need them.
Operations and maintenance
You are in the buildings: inventory, rounds, faults, work orders. You use Vyer on a phone as much as on a computer.
Technical management
You plan and follow up: statutory inspections, installation data, budgets, contractors.
Commercial management
You look after tenants and leases: rental objects, response times on work requests, the state of the portfolio.
Data coordination
You keep the structure together: members and roles, asset types, data fields, exports.
Working as a contractor
You work in other companies' buildings as a service technician, inspector or operations contractor. You use one login for several customers and do the job on your phone.
→ Working in Vyer as a contractor
Before you pick
If you have not read them yet, Navigating Vyer and How Vyer is organised: sites, buildings, floors, spaces, assets take ten minutes and make every guide easier to follow.

Technical management
For technical managers: statutory inspections, installation data and follow-up in one place.
📐 This guide is for you if you plan and follow up on the technical side of the portfolio: installations, statutory inspections, protocols, follow-up across sites.
Keep statutory inspections in one place
Create each statutory inspection, such as ventilation, lifts or fire safety, as an inspection with the right inspection type, set who is responsible, and upload the protocol when it is done. When the auditor asks, everything is in one place, with dates.
→ Set up a statutory inspection
Find installation data fast
Everything the technicians have inventoried in the field is in the Assets topic: ventilation units, electrical cabinets, shut-off valves. Filter by asset type, search by name, switch to the table view to see every field, and export the list.
Follow up in the Dashboard
The Dashboard shows how work orders and inspections are progressing across the portfolio and where the activity is. 💡 Filter by My sites to see only your properties.
Bring in inspection data from Kiwa
If your inspections are carried out by Kiwa, an inspection body in Sweden, their results and protocols can be brought into Vyer through its Q3web service, so you see the status of each inspection and any operating ban (an installation that may not be used until it is fixed) without double work.
Know the words
Inspection, inspection template, inspection type and statutory inspection mean different things, and the difference matters when you set things up.

Operations and maintenance
For technicians, caretakers and anyone who runs rounds: how Vyer is used in the field.
🔧 For technicians, caretakers and anyone who runs rounds. You map assets, run inspections and handle work orders in Vyer, mostly on your phone in the building.
Start on your phone
📱 Most of this work happens in the building, so install Vyer on your phone first. It is the same app, with a bottom bar instead of the side navigation.
→ Add Vyer to your phone's home screen · Navigating the mobile app
Map the installations
Every air handling unit, electrical cabinet and fire extinguisher is an asset. Place it on the floor plan, give it an asset type, and add a photo. Once it is there, everyone can find it, and it can be inspected and maintained.
Run inspections
A fire safety round, a monthly check, a statutory ventilation inspection: each is an inspection made up of inspection tasks. When you are assigned one you get an email with a direct link. Open it on your phone, walk the route, mark what is wrong. When you complete the round, Vyer asks about the tasks you did not resolve: mark them all as completed, or skip them.
Handle work orders
Faults found during a round become work orders. Set priority, assign, add photos and comments, and close them when done. The Work orders topic lists everything open on the floor you are looking at.
Receive work requests
Tenants report faults through the public reporting form. They arrive as work requests. 💡 To be told by email when a new one comes in, set your preference in Profile settings, and pick My sites so you only hear about your properties.
→ Choose which emails you get · Work with work requests
Report a wrong drawing
If a wall on the plan is not there, or a room has been split, report a drawing edit from the map. The model gets corrected, and your report is the record.

Add Vyer to your phone's home screen
Vyer is a web app. Install it from your browser and it opens like any other app.
📱 Install Vyer from your browser and it gets its own icon, opens full screen and works like any other app. It is not in Google Play or the App Store.
Install from Chrome on Android
Open app.vyer.com in Chrome and sign in.
Tap the menu (three dots) at the top right.
Tap Add to Home screen, then Install.
The Vyer icon appears on your home screen.
Install from Safari on iPhone and iPad
Open app.vyer.com in Safari and sign in.
Tap the Share button (the square with an arrow pointing up).
Tap Add to Home Screen, then Add.
The Vyer icon appears on your home screen.
💡 Chrome, Edge and Firefox on iPhone and iPad can add Vyer to the home screen too, from their Share menu, on iOS 16.4 or later. On older versions use Safari.
Install on a computer
Vyer installs as an app on a computer as well, which gives it its own window and icon.
Open app.vyer.com in Edge.
Open the menu (three dots) at the top right.
Choose Apps, then Install this site as an app.

Which devices and browsers work with Vyer
Supported browsers, the one setting that must be on, and what to expect from your hardware.
💻 Vyer runs in the browser on computers, phones and tablets. Most modern devices work. How smooth it feels depends on the device, the size of the building model and your connection.
Use a supported browser
Vyer is tested in Chrome and Edge. It also supports the latest two versions of Firefox, Safari on Mac, iPhone and iPad (version 14, from 2020, or later), and Chrome on Android.
Turn on hardware acceleration
⚠️ The 3D view needs the browser's hardware acceleration. On many company computers it is switched off by default, and the model then shows as an empty area.
Chrome: Settings → System → turn on Use graphics acceleration when available, then relaunch.
Edge: Settings → System and performance → turn on Use graphics acceleration when available, then relaunch.
Firefox: Settings → General → Performance → untick Use recommended performance settings, tick Use hardware acceleration when available, then relaunch.
If the setting is grayed out, your IT department controls it. Ask them to enable it for app.vyer.com.
Check what your device can handle
Basic. Enough for viewing and navigating smaller models. Navigation feels slower in large buildings.
Mac: MacBook Air or MacBook Pro with Intel processor, 2019 or later
PC: laptop with an i5 processor and 16 GB RAM
Phone: iPhone 11 or 12, Samsung Galaxy A54
Tablet: iPad, Microsoft Surface Go 3
Recommended. Responsive on standard building models. The right choice for most users.
Mac: MacBook Air or iMac with Apple silicon
PC: Dell Latitude, HP EliteBook or Lenovo ThinkPad with 16 GB RAM and a dedicated graphics card
Phone: iPhone 13 or 14, Samsung Galaxy S22 or S23
Tablet: iPad Air with M2 or later, Microsoft Surface Pro 8
High performance. For large or complex BIM models and smooth real-time navigation.
Mac: MacBook Pro with M2 or later, Mac Studio
PC: Dell Precision, HP ZBook or Lenovo ThinkPad P series with a dedicated graphics card
Phone: Samsung Galaxy S24 or later
Tablet: Microsoft Surface Pro 9 or later
Very large or highly detailed models, such as a whole hospital block in full 3D, can be slow on a phone. For daily work in a standard building, the phones listed above are enough.
Device list last reviewed: October 2026.
Check three things besides the device
Connection. The 3D model is streamed, so a weak network makes loading slow.
Model size. Bigger buildings need more graphics memory.
Device health. Free memory, the number of open tabs and, on laptops and tablets, heat all affect speed.
💡 Unsure whether your device is enough, or seeing slow performance? Contact us through the chat and we will help you find out. See Reach us from the app.

Get help and report a problem
Where to reach support, what to include, and the two things to try first.
💬 Something does not look right, or you cannot find a function? Reach the Vyer team from the app or by email.
Reach us from the app
On a computer: click the chat icon at the bottom right of the screen.
On a phone: tap More, then Chat and support.
By email: support@vyer.com.
The chat is answered by the Vyer team on weekdays, 09:00 to 17:00 Swedish time. Outside those hours, leave a message and we reply when we are back.
Include these four things
We can help sooner when we see what you see.
Which site, building and floor you were on.
What you clicked and what you expected to happen.
A screenshot, or the link from your browser's address bar.
Which device and browser you use.
Try these two things first
Reload the page. Many issues are a stale view. If a new version of Vyer is available, the app asks you to reload; do it.
Clear stored data. Vyer keeps a copy of your data in the browser so it works offline. If the app is stuck or shows old information:
Open Profile settings.
Click Advanced settings.
Under Data settings, click the delete icon next to Clear all stored data.
⚠️ This signs you out and removes everything Vyer stored in this browser, including inspections downloaded for offline use and any changes that have not synced yet. Your data on the server is not affected, so go online and let the app sync before you clear. Sign in again afterwards.
Report a wrong drawing or fix wrong data
If the drawing does not match the building, report a drawing edit from the map so the model can be corrected. If an asset or a space has the wrong information, edit it directly; every change is logged, so nothing is lost.
Get access you are missing
A page that says Contact an admin to get access to this content means your role does not give you access. Ask an Admin in your organization. See Get access when something is missing.

How Vyer is organised: sites, buildings, floors, spaces, assets
The words Vyer uses and how they fit together, one line each.
🧭 The words Vyer uses for places, the things in them, work and people, and how they fit together.
Where things are
Organization
Your company or client. Everything below belongs to one organization: sites, members, settings.
Site
A property: a registered parcel of land, identified by its property designation. Contains one or more buildings. Shown as a marker on the outdoor map.
Building
A building on a site. A building with an uploaded 3D model (IFC) is Vyer Standard (Full Twin). A building without one is Vyer Light (Instant Twin): you still get floors, markers and every tool, on a footprint from official property data (Lantmäteriet, for sites in Sweden) or from the map.
Floor
A level in a building. Each floor has its own plan where spaces, assets and tasks are placed.
Space
A room on a floor. Comes from the IFC model. Spaces can hold assets and tasks, be part of inspections and areas, carry fields, and be colored by layers.
Area
A zone you define, for example a rental object. One or more spaces, or a drawn shape, possibly across floors and buildings. Has its own fields.
What is in them
Asset
Any physical thing you manage: an air handling unit, a fire extinguisher, a door. Placed on a floor or in a space. Assets are what you inspect, maintain and attach warranties to.
Asset type
The classification of an asset, managed by your organization. Decides which fields an asset has and which inspections it belongs in.
Field
A custom attribute your organization adds to sites, buildings, spaces, areas, assets or tasks: text, number, date, link, select or checkbox.
Work
Work order
A task with an assignee, priority, due date and linked assets. Created by you, or from an inspection task that found a fault.
Work request
A report of a fault from a tenant or other person outside Vyer, sent through the public reporting form. Handled and, if needed, turned into a work order.
Drawing edit
A request to correct the building model when the drawing does not match reality.
Inspection
A round of checks with a due date, such as a monthly fire safety round or a statutory ventilation inspection. Each check is an inspection task. Inspections are generated from an inspection template, which says what to check, how often and by whom. The inspection type (fire safety, ventilation, radon, …) is set by your organization and marks which inspections are required by law.
Warranty
Coverage on an asset with a vendor and an expiry date. Vyer reminds you before it runs out.
Who
Member
A person with access to your organization.
Role
What a member may see and do: Owner, Admin, Editor, Viewer or Custom. See what each role can do.

Sign in to Vyer
The two ways to sign in, and what to do when it does not work.
🔑 Sign in to Vyer in the browser at app.vyer.com, with your email and password or with your organization account. Which one you use depends on how your organization set up your account.
Sign in with email and password
Go to app.vyer.com.
Enter your email and password.
Click Login.
You land on the map. If you belong to more than one organization, you first see Choose organization.
Sign in with your organization account (SSO)
Use this if your organization signs in through its own identity provider, such as Microsoft Entra ID.
On the sign-in page, click Sign in using your organization account.
Enter your work email and click Next.
If more than one organization uses single sign-on with your email, pick one under Select an organization to continue.
Sign in on your company's login page. You are sent back to Vyer, signed in.
When you sign in this way you only see the organizations that use single sign-on. To reach an organization that uses email and password, sign out and sign in with Sign in using email and password instead.
If it doesn't work
"Could not sign in with SSO"
No organization has single sign-on set up for your email, or your account has not been created there yet. Try email and password, or ask your administrator.
Wrong password, again and again
⚠️ After 10 wrong passwords within two hours, sign-in is blocked for two hours. Wait, then try again. If you have forgotten the password, reset it. See Reset your password.
You never received an invitation
Accounts are created by invitation only. Ask an administrator in your organization to invite you, or email support@vyer.com. See Create an account.

Reset your password
Get a new password by email when you have forgotten yours.
🔑 Forgot your password, or want a new one? Request a reset from the sign-in page. You need access to the email address on your account.
Reset your password
Go to app.vyer.com. If you are signed in, sign out first: click your organization's logo at the bottom left and choose Logout.
Click Reset password.
Enter your email and click Reset password. You see the message Password reset request has been sent. Please check your email for further instructions.
Open the email from Vyer and click the link. The link works for 2 hours and can only be used once.
Enter a new password of 8 to 255 characters and click Reset.
You are signed in with the new password straight away.
💡 To change your password while you are signed in, go to Profile settings instead. See Change password.
If it doesn't work
No email arrives
The confirmation message is shown for any address, even one without an account, so first check that you typed the right email. Then check your spam folder. If it still does not arrive, ask your administrator whether you have an account in Vyer.
You signed in through your organization account (SSO)
Your password is managed by your organization, not by Vyer, so no reset email is sent. Reset it the way you would for your other work systems.
You never finished setting up your account
If you were invited but never completed the registration form, the email contains the registration link instead. Follow it to set your name and password. See Create an account.
The link has expired
Request a new one. Each link lasts 2 hours.

Create a work order from your phone
Log a fault where you stand: the + button, a tap on the map, and the details filled in on the card.
🛠️ Spot a fault on a site visit and log it from your phone before you forget. You need edit access to at least one site. On a computer, use Add new in the toolbar instead.
Add the work order
Tap Overview in the bottom bar to open the map, or open a topic such as Work orders.
Tap + in the middle of the bottom bar and choose Work order.
If no site is selected, the Add new dialog opens. Choose a Site and Building and tap Next. The map moves there. If a site, building or floor is already selected, the work order is attached to it.
A banner reads Click the map to place work order. Tap the spot on the map or the floor plan where the fault is. On a floor plan, tap the drawing itself: a space or an asset.
💡 To create the work order without a marker, tap Skip in the banner instead. The X closes the banner without creating anything.
The message Successfully created work order appears, and the work order's detail card opens at the bottom of the screen with the status Open.
Fill in the details
Tap Name your work order and type a title.
Use the icons on the card to set an assignee, a priority and a due date. The camera icon adds a photo from your camera or gallery.
Tap Show full detail to add a Description and to see the work order number.
If it doesn't work
There is no Work order in the + menu
Viewers, and Custom members without edit access to a site, do not see it. Ask an Admin in your organization to change your role. See Get access when something is missing.
There is no + button
The button is only shown on the map and in the topics. Tap Overview and try again. A detail card opened in full also hides the bar; tap Back first. On a tablet held sideways or a small laptop, Vyer shows the computer layout: use Add new in the toolbar at the bottom of the map instead.
Tapping the map does nothing
On a floor plan the tap has to land on the drawing, not on the empty area around it. Tap a space or an asset, or tap Skip to create the work order without a marker.
Failed to create work order
The work order did not reach the server. Check your connection and try again.

Working in Vyer as a contractor
For service technicians, inspectors and operations contractors who work in other companies' buildings.
🛠️ You work in buildings you do not own, as a service technician, inspector or operations contractor, and your customer has given you access to their sites in Vyer. Most of the job, from finding the asset to reporting back, happens on your phone.
Start on your phone
You are in an unfamiliar building with one hand free. Install Vyer on your phone first; it is the same app, with a bottom bar instead of the side navigation.
→ Add Vyer to your phone's home screen · Navigating the mobile app
Switch between your customers
Each customer invites you to their organization. You keep one account and switch between organizations from More on your phone or your organization's logo on a computer. You see only the sites each customer has given you access to.
→ Create an account · Switch between organizations · Roles and what you can do
Find the asset and the space
Open the site and building from the selector at the top, pick the floor, and the floor plan shows where the asset sits. Tap it for its data fields, documents and history, so you know what you are looking at before you open the cabinet.
→ Find a property and open a building · How Vyer is organised: sites, buildings, floors, spaces, assets
Do the work order
A job you have been assigned arrives as a work order, with a notification in your Inbox and by email. Open it, read the description and comments, and when you are done add a photo, write what you did and set the status to Completed.
Carry out the inspection
An inspection round you have been assigned arrives the same way. Open it on your phone, walk the route and mark each inspection task as you go. Photos and comments stay on the task for the customer to see.
Download before you lose coverage
Plant rooms and basements lose signal. Before you go in, open the inspection and choose Download inspection offline; do the round, and sync when you are back out.

Measure distances and areas
Measure a distance or an area on the floor plan, in meters, without going to the building.
📐 Measure a distance or an area on a building's floor plan, in meters, without going to the building. Works on a computer and on a phone.
Measure a distance
Open a building and pick a floor.
In the toolbar at the bottom of the map, click Measure and choose Measure distance.
Click the first point, then the second. The panel shows the distance: in centimeters under 10 meters, in meters above.
Pick what to measure in the panel: Diagonal is the straight line between the points, Horizontal ignores the height difference, Vertical measures only the height difference.
Click two new points to measure again, or Clear to start over.
💡 Faster: right-click a point on the floor plan and choose From this point, then right-click the second point and choose To this point.
Measure an area
Open a building and pick a floor.
Click Measure in the toolbar and choose Measure area.
Click once on each corner of the area. The panel shows the area in square meters as you go.
Right-click a point to remove it. Undo and Redo step through your changes; Clear starts over.
Turn snapping on or off
Points snap to the walls and corners in the model, so the measurement follows the drawing rather than your click. Hold Ctrl to place a point exactly where you click. To turn snapping off for good, open More options in the toolbar, choose View settings and change it under Measurement.
Close the measurement
Click the close button in the panel or press Esc. Measurements are not saved.
Measure on a phone
The toolbar has no Measure button on a phone. Press and hold a point on the floor plan and choose Measure from this point, then press and hold the second point and choose Measure to this point. Both tools are also in the Layers menu at the top right of the map, under Map interactions.
If it doesn't work
There is no Measure button in the toolbar
Measure is only offered when a building is open, not on the outdoor map. Open a building and pick a floor first.
The point lands next to where I clicked
Snapping moved it to the nearest wall or corner. Hold Ctrl while you click to place it exactly.

Use layers to color the map
Color every room on a floor by category, room number or any space field, and switch the outdoor map to satellite.
🗺️ Color every room on a floor by its category, its room number or any field your organization keeps on spaces, and switch the outdoor map to satellite. Works on a computer and on a phone.
Open the Layers menu
Click the Layers button at the top right of the map. On a phone the same menu also holds Map interactions: tilt, center, distance and area measurement, and fullscreen.
Switch to the satellite map
Under Map type, choose Default or Satellite. The choice shows on the outdoor map; inside a building you see the floor plan either way.
Color a floor with a data layer
Open a building and pick a floor. Data layers need a floor; the menu says so when a building or a floor is missing.
Under Data Layers, choose Room number, Room category or one of your organization's space fields.
Every space on the floor takes the color of its value, and the menu turns into a legend: each value, its color and how many spaces have it.
Point at a value in the legend to see only those spaces. Click the arrow at the top of the legend to turn the layer off; changing floor turns it off too.
💡 Up to eight values get a color of their own and the rest are grouped as Other. Spaces without a value are No value. When every space has a different value, the layer shows only Has value and No value.
Use your own data fields as layers
Room number and room category are built in. Every other option is a field your organization has added to spaces under Organization settings, Data fields. See How Vyer is organised: sites, buildings, floors, spaces, assets for what a field is.
Export the colored floor plan
With a data layer on, PDF export in the toolbar's More options menu offers Include map layers, so the colors and the legend go into the PDF.
If it doesn't work
Data Layers shows an info icon and no fields
No floor is selected. Open a building and pick a floor first.
Map type is missing from the menu
A data layer is on. Turn it off with the arrow at the top of the legend and Map type comes back.

Add your first property
Put your first property on the map, add a building and its floors, and start working without drawings or a 3D model.
🏢 Find your first property by its property designation or on the map, add a building and its floors, and start working. No drawings or 3D model needed.
You need the Editor role or higher to add a site, and the Admin or Owner role to add a building and its floors. A building added this way is Vyer Light (Instant Twin). It gets a footprint from official property data or from the map, plus floors, markers and every tool. You can add a 3D model later without losing anything.
Add the site
Click Add new in the toolbar at the bottom of the map and choose Site, or open Sites under Organization settings and click Add site.
Type the property designation in Search for a property designation. For sites in Sweden the results come from Lantmäteriet, the national land registry; pick the right one and the property's boundary, area and type appear.
Click Add site.
Outside Sweden, or when the search finds nothing, click Locate on map. Select a property boundary on the map where one is shown, or place a marker where the property is, and confirm.
The site appears as a marker on the outdoor map and as a row in the Sites table.
Add a building
Select the site and click Add building.
Give the building a Name and click Continue.
The building is created on the footprint from the property data or the map.
Create the floors
Open the building. The floor selector sits on the right edge of the map.
Open the floor selector's menu and choose Create floor. Repeat for each floor, from the bottom up.
Each floor gets its own plan where you place assets, work orders and inspections. Spaces (rooms) come with a 3D model, so a Vyer Light building has none until one is added.
Start working
Place the first assets on a floor, set up an inspection, or share the public reporting form with tenants. The role guides show where to begin: Learn Vyer based on your role.
If it doesn't work
Add site is grayed out or missing
Viewers cannot add sites. Ask an Admin to make you an Editor. See Get access when something is missing.
The property designation gives no results
Check the spelling against your deed or property register, or use Locate on map instead.
I want a 3D model of the building

Invite your colleagues
Invite colleagues by email, give each the right role, and renew an invitation that ran out.
🤝 Invite colleagues to Vyer by email and give each one a role. Admins and Owners can invite anyone; Editors can invite Editors and Viewers.
Invite a member
Click your organization's logo at the bottom of the side navigation and choose Members under Organization settings. On a phone, tap More, then Members.
Click Invite a member.
Enter the person's Email. It has to be the address they will sign in with.
Choose a Role: Viewer, Editor, Admin or Owner. See what each role can do.
Choose which sites the member can reach: every site in the organization, or only the sites you pick. A member limited to some sites has the Custom role.
Click Send invite.
The person gets an email, You have been invited to join "your organization" on Vyer by …, with an Accept invitation button. Until they accept, the Members page shows Invited, expires with the date.
Renew an expired invitation
An invitation is valid for 7 days. After that the Members page shows Invite expired. Open the member and choose Renew invite; a fresh email goes out and the clock restarts.
Change a role later
Open the member on the Members page and choose Edit member to change the role or the sites. Only Admins and Owners can make someone Admin, and only an Owner can give the Owner role.
If it doesn't work
There is no Invite a member button
Viewers cannot invite. Ask an Admin in your organization.
The email never arrived
Ask the colleague to check their spam folder, and check the address on the Members page. Renew invite sends the email again.

Work offline on your phone
Download an inspection before you lose signal, do the round offline, and let Vyer sync when you are back.
📵 No signal in the basement? Download the inspection before you go in, do the round offline, and let Vyer sync your work when you are back on the network.
Download an inspection
While you are online, open the inspection from Inspections or from the link in the email that assigned it to you.
Tap the menu at the top of the inspection and choose Download inspection offline.
Confirm. Only this inspection is downloaded, and it is marked Available offline.
Everything you have downloaded is listed under More, then Offline downloads. On a computer the same page is under Account.
Do the round offline
When the connection drops, a banner says You are currently offline. Open the inspection from Offline downloads and work as usual: mark tasks, add notes and photos, and create work orders from the tasks. It is all saved on your phone.
A few things wait until you are back online: completing the whole inspection, Complete all and skipping all remaining tasks, the outdoor map, and anything you did not download. The floor plan of a downloaded inspection works offline.
Sync when you are back
Once the phone has a connection, your changes upload on their own. A task shows Waiting to sync, then Syncing, then it is done. If you see Offline Sync Failed, open Offline downloads and tap Sync all. Then complete the inspection as usual.
Keep downloads up to date
Changes a colleague makes after your download may not be on your phone. While you use the app online, Vyer refreshes your downloads at least every 24 hours; Offline downloads shows Last synced for each one, and Sync all refreshes them right away.
Remove a download
On Offline downloads, choose Remove Download, or open the inspection and choose Remove offline inspection from its menu. The inspection itself stays in Vyer; only the copy on your phone goes.
⚠️ Clear all stored data under Advanced settings removes every download and any change that has not synced yet. Sync first. See Get help and report a problem.
If it doesn't work
Download inspection offline is grayed out
You are offline. Downloading needs a connection; it is the one step to do before you go in.
Colleagues cannot see what I did
Your changes have not synced yet. Go online, open Offline downloads and check for Waiting to sync or Offline Sync Failed.

Which systems Vyer connects to
The systems Vyer exchanges data with, what moves in which direction, and how a connection is set up.
🗂️ Data that already lives in another system does not have to be typed into Vyer again. Vyer exchanges data with the systems below, in the direction each one describes.
The connections
Q3web, from Kiwa: statutory inspection results and protocols come into Vyer as inspections on the right asset. Sweden. See Connect Kiwa and Q3web.
Vitec Hyra: rental objects come into Vyer as areas on the right site, with tenant, size, address and contract dates. Sweden. See Sync rental objects from Vitec.
Rekyl: every new work request on chosen sites is sent to Rekyl as a work order, so the operations team works where they always have. See Send work requests to Rekyl.
Boverket: a building's latest energy certificate is fetched on request from the Swedish housing authority's register. Sweden. See Fetch energy certificates in Sweden.
Connections to a customer's own property system exist too, built for that customer. Ask if yours is one of them.
How a connection is set up
Vyer sets up every connection for your organization. There is no settings page to switch one on. You provide the other system's login or key, and the data field in Vyer that holds the number the two systems match on, such as a property number or a registration number. The connection then runs on a schedule, or at once when something happens, as a service account in your organization. Contact support to get started; see Reach us from the app.
Everything else
What has no connection of its own goes through the API, with a service account you create yourself, or through the Excel exports of every list. See Use the API with a service account and Export from Vyer.

Send work requests to Rekyl
Every work request on your chosen sites becomes a work order in Rekyl the moment it arrives, with the reporter's details and a link back.
🛠️ If your operations team works in Rekyl, every work request that arrives in Vyer on the sites you choose becomes a work order in Rekyl the moment it is created, with the reporter's details and a link back to Vyer.
What the connection does
A new work request on one of the chosen sites, from the public reporting form or created by a member, is sent to Rekyl at once. Nothing happens for work orders or drawing edits.
Rekyl receives the title, the description, the site and building, the priority, the reporter's name, email and phone, the request's number, how many photos it has, and a link that opens it in Vyer.
Rekyl sends one status back. When the work order is started in Rekyl, the work request in Vyer is set to In progress. Every later status, and every message to the reporter, is set in Vyer. A later change made only in Rekyl does not reach Vyer, so the reporter does not hear about it. See Keep the reporter informed.
If Rekyl cannot be reached, Vyer tries again, after a minute, after three hours and after twelve.
Get connected
Vyer sets the connection up for your organization. Have ready, from Rekyl: your tenant id, company id, an API key and the project new work orders should land in. From Vyer: the list of sites to include, which you can take from the Sites export. Contact support; see Reach us from the app.
If it doesn't work
A work request did not reach Rekyl
The site is not in the connection's list, or the item is a work order rather than a work request. Ask support to add the site.
Vyer does not follow the status in Rekyl
Rekyl only sets In progress in Vyer. Set every later status in Vyer, and the reporter is told.

Share a link to anything in Vyer
Send a colleague straight to the asset, work order or site you are looking at by copying the link in the address bar.
🗺️ To send a colleague to a specific pump, work order or room, copy the address in your browser and send it. They land on the same card.
Copy the link
Open the item so its card is showing.
Copy the address from the browser's address bar. It ends in the item's id and the card's size, for example
?id=pi…&mode=full.Paste it in a chat, an email or a work order comment.
Whoever opens it signs in if they are not already, is switched to the right organization, and sees the item's full card on the map. Someone without access to that site sees the map without the card.
Where else the links are
Every email Vyer sends about a work order, an inspection or a reminder carries the same kind of link.
The Excel export of sites, buildings, spaces, assets, asset types, areas and work orders has a URL column with a link per row, so a spreadsheet can lead back into Vyer. See Export from Vyer.
A QR label on an asset is a link too. See Scan a QR code to open an asset.
Good to know
The id in the link starts with two letters that say what it is:
sia site, bda building, spa space, ogan area, pian asset you added, moan asset from the 3D model, isa work order or work request, iian inspection.A link keeps working after the item is renamed or moved.
If it doesn't work
The link opens the map, but not the item
The person has no access to the site the item is on. An Admin in the organization can give it; see Limit a member to some sites.
The link asks for a sign-in every time
That is how it works for someone who is not signed in. After signing in they land on the item.

Manage inspection types
Decide which kinds of inspection your organization runs, which are required by law, and what checking each asset type involves.
⚙️ Every inspection in Vyer has a type, such as a fire safety round, a ventilation inspection or a filter change. Decide which types your organization runs, which are required by law, and what checking each kind of asset involves, so every round is set up the same way.
You need the Admin or Owner role. Everyone else can see the list but not edit it.
Open the list
Start creating an inspection, and in the type picker choose Manage inspection types. A new organization starts with a set: Fire safety inspection, Ventilation inspection, Elevator & lift, Electrical audit, Radon, Sprinkler and Shelter marked as statutory, and Filter change, Roof, Technical spaces, Outdoor inspection, Common areas, Playground and PCB as ordinary types.
Add or rename a type
Click Add new. A type with a color appears; click its name to write it, and the color swatch to change it.
Switch on Statutory inspection for a type required by law. See Set up a statutory inspection.
Say what each asset type needs
Open the type's menu and choose Edit asset types, then Add asset types and pick the kinds of asset this inspection checks, such as air handling units for a ventilation inspection or extinguishers for a fire safety round.
For each, write the instructions and the subtasks a technician fills in. They become the default for every inspection task of that asset type under this inspection type, so Import tasks in a new inspection creates ready-made tasks. See Add the tasks.
The same defaults can be set from inside an inspection: when you write instructions on a task, tick Save instructions and subtasks for the asset type.
Retire a type
Choose Delete in the type's menu. The type is archived: it leaves the pickers, and existing inspections keep it. Restore brings it back.
If it doesn't work
Add new is grayed out
Only Admins and Owners manage inspection types.
A type I deleted still shows on old inspections
Archiving hides a type from new inspections only. The old rounds keep their type and their history.

See what changed on a site
Every change on a site, who made it and when, in one feed on the site's card.
🏢 Every change on a site is recorded, with the person and the time, in one feed on the site's card. Use it to find out who placed those assets last week, or when the inspection was reassigned.
Open the feed
Open the site's full card, from the floor selector's menu with Open site detail card or from the Sites list. On a computer the feed sits in the right-hand column under Activities; on a phone it is below the card's details.
Read the entries. Each one says who did what, grouped by day: created 12 assets, updated asset type, added 3 images, added 2 members to the site, created 4 work orders from inspection tasks, sent 1 message to the reporter.
Click an entry to open the single changes behind it. Show more activities loads older days.
The building's card has an Activities feed too, for changes to the building itself. Every asset, space, work order and inspection has its own feed on its card.
See it across the portfolio
The Dashboard counts the same changes. Number of edits, Top active sites and Top contributors open the feed for a day, a site or a person. See Use the Dashboard.
Good to know
You see the sites you have access to, and the kinds of item your role can read.
Changes made through a connection or the API show up under the service account's name.

Sync rental objects from Vitec
Let your rental objects in Vitec Hyra appear as areas in Vyer, with tenant, size and contract dates kept up to date.
🏢 If your leases live in Vitec Hyra, every rental object can appear in Vyer as an area on the right site, with the tenant, the size, the address and the contract dates, kept up to date without anyone typing them twice.
The connection is available in Sweden, where Vitec Hyra is used.
What the connection does
For every rental object in your Vitec data view, Vyer finds the site by its property number and creates an area on it, or updates the area it created before. The area is named after the object number.
The area's data fields are filled from Vitec: the object number, and the ones you choose among tenant, size, street address, object type, vacancy, organization number, property designation and the contract's start and end dates.
It runs on a schedule and in one direction, from Vitec into Vyer. Nothing is written back to Vitec.
What you add yourself
The connection creates the area and its fields, not its place on the floor plan. Open each area and add its spaces or draw its outline, once; the fields keep updating around it. See Add spaces to the area.
Get connected
Vyer sets the connection up for your organization. Have ready:
A Vitec Hyra login and a data view that holds the objects with their property number and object number, plus the fields you want in Vyer.
A data field on sites that holds the property number, filled in on every site the connection should cover. See Create a data field.
Data fields on areas for the object number and the other values. An Admin can lock them with Restrict editing so nobody overwrites a synced value by hand.
Contact support; see Reach us from the app.
Pause the sync for a site
The connection finds a site by its property number. To stop it creating new areas on one site, clear the site's property number field, or add a character to the end of the number, such as an x. Areas whose object number still matches a rental object keep updating; to stop one of those, see the next section.
Keep your own values on one area
To keep the values you typed on one area, add a character to the end of its object number field, such as an x. The connection no longer recognizes the area and leaves its fields alone. It creates a new area for that rental object instead, which you can leave in place.
If it doesn't work
A rental object does not appear
Its property number matches no site in Vyer. Check the site's property number field against Vitec.
An area was deleted but came back
The connection creates an area for every object it finds. Take the object out of the data view, or leave the area in place.
A rental object was changed in Vitec but the area is old
The connection runs on a schedule. The next run picks it up.

What a 3D model needs before it is uploaded to Vyer, so the floors, rooms and elements land where they should and survive the next update.
🏢 Set up an IFC model right and Vyer turns it into a building where every room has a name and every element sits on its floor. The next version of the model then updates it without losing what people have added.
The file
An IFC file in version IFC2x3 or IFC4, named with the ending .ifc.
Exactly one building and one site in the file, with at least one floor. A file with more is refused as Validation failed.
Every element with its own unique id. Duplicated ids are refused too.
The floors
Every element belongs to the floor it is on. The floors in the model become the floors in Vyer, in order of height, with the model's names, or they are matched to the floors you already created when you confirm the upload. See Match the floors and confirm.
The rooms
Every room, corridor and shaft that is a space in the building is a room object in the model, named by its function and filling its area. Rooms are what Vyer shows as spaces, what areas are built from, and what work orders and assets are placed in. A room missing from the model is missing from Vyer.
Model to the level of detail you will use
Vyer is for running the building. Model floors, rooms, slabs, walls, doors and windows, plus columns, stairs, railings and ramps where the drawings show them. Installation detail adds weight to the file and nothing to the floor plan.
Send the modeler these requirements
Whoever builds or updates the model can work straight from this list:
Every element sits on the right floor and has the right IFC class: a wall is a wall, a door is a door.
The model is closed: no gap between slab and outer wall, and walls and columns meet the slab above and below.
No geometry overlaps.
Every space has a room object that fills it, named by its function.
The model shows the building as the available drawings describe it.
Elements are real Revit families, so they can be edited in bulk. Model-in-place only where there is a reason for it.
The model sits near Revit's internal origin, with positive X and Y coordinates only.
Updating the model later
Vyer recognizes an element by its id. When a new version of the model is uploaded:
An element whose id is unchanged is updated in place, and keeps the data, photos and work placed on it in Vyer.
An element whose id has changed or disappeared is read as removed. The data attached to the old one does not follow to the new one.
A room that is replaced keeps the assets placed in it, but they lose their link to the room until it is set again.
So keep ids stable between versions, and model changes as changes rather than as delete and redraw.

Transfer a property to a new owner
Selling a property? Its digital twin, with the assets, documents and history, can move to the buyer's Vyer organization.
🏢 Selling a property? Vyer copies its digital twin, with the model, assets, documents and history, to the buyer's organization, and you decide what goes with it.
The transfer is done by Vyer, with you and the buyer. You need the Owner or Admin role in your organization.
Ask for the transfer
Contact support through the chat or by email, and say which site is changing hands and when. See Reach us from the app.
Introduce Vyer to the buyer. If the buyer has no organization in Vyer yet, Vyer creates one for them.
Tell Vyer what to leave out. Personal data, such as who reported a fault, is left out on its own. Anything else, a data field or a set of documents, is left out on request.
Confirm and close
Vyer copies the site into the buyer's organization and asks you to confirm that the copy holds what you agreed. Nothing moves before you have said yes.
Once the buyer has their copy, delete the site in your own organization: open it and choose Delete site in its three-dot menu. See Delete a site.
Good to know
The buyer gets a copy, not access to your organization. Your members keep working in your sites as before.
Members of your organization who should keep working on the property, a contractor for example, are invited by the buyer into theirs.

Order a 3D model from Vyer
Turn the drawings you have into a 3D model made by Vyer's modeling team, and what to send them.
🏢 No model of the building? Send Vyer the drawings you have and the modeling team turns them into a 3D model, published as a Vyer Standard (Full Twin) building with every room and floor in place.
Order the model
Open the building in Vyer and ask for the model through the chat, or through your contact at Vyer. A building without a model also offers New model request in the Upload dialog on the Files page, which starts a drawing edit for it.
Vyer sets up a shared folder for the building's drawings and tells you where to put them.
Upload the drawings. Review the model as soon as it is published, and report what is wrong as drawing edits; see Report a drawing edit.
What to send
Floor plans for every floor. Facades, sections and a site plan help but are not required.
Architectural drawings, not installation drawings. Electrical and plumbing drawings are not needed.
DWG files are best. PDF, PNG, JPG and TIF scans work, as do RVT and IFC files.
If you have no drawings at all, the building can be scanned on site instead. Ask about it when you order; it is priced separately. Drawings for a building in Sweden can often be requested from the municipality; see Request drawings from your municipality.
What the model contains
Floors, rooms, floor slabs, walls, doors and windows are always modeled. Columns, stairs, railings and ramps are modeled where the drawings show them. The level of detail is kept low on purpose. The model is for running the building, so it loads fast on a phone in the plant room.
While you wait
The building works as Vyer Light (Instant Twin) in the meantime: add the floors yourself and place assets and work orders on them. Everything you add stays when the model arrives. See Vyer Light and Vyer Standard.

Request drawings from your municipality
No drawings of the building? In Sweden the municipality keeps the building permit drawings, and you can ask for them.
🗺️ No drawings of the building anywhere in the office? In Sweden the municipality keeps the drawings from every building permit, and anyone can ask for them. Outside Sweden, ask the local building authority.
Ask the municipality
Search the web for the municipality's name together with "begär ut ritningar" or "bygglovsarkiv". Most municipalities have a web form; the rest take an email to the building committee.
Give the property designation, for example Eken 1:12, and the address. Ask for the latest approved architectural drawings: floor plans, facades and sections.
Ask for them as PDF files, or DWG if the archive has them, rather than photographs of paper.
What to expect
The drawings are public records. You do not need to own the property or sign in to ask.
A small fee may apply for copying. Ask for a quote with the request.
Delivery takes from a day to about a week.
Then
With the drawings in hand, order the 3D model; see Order a 3D model from Vyer. Until it arrives, the building works as Vyer Light with the floors you add yourself.

Map which rooms an installation serves
Record which air handling unit, electrical panel or sprinkler section each room belongs to, and see it as colors on the floor plan.
🏢 Record once which air handling unit or electrical panel serves each room, and see the floor plan colored by it.
You need the Editor role or higher, a building with a 3D model, and a computer.
Create the field
Open Organization settings, click Data fields and then Add data field. Name it after the installation, for example Air handling unit, and choose the type Label so every room picks from the same list.
Open any space, choose Edit data fields in its three-dot menu, and add the field to the spaces template with Add data field and Choose existing. See Create data fields.
Admins and Owners create fields. An Editor can fill them in.
Fill it in, many rooms at once
Open the floor. Press V for the select tool, or click it in the toolbar, and drag a box around the rooms the unit serves. Hold Shift and click to add or remove single rooms.
In the bar at the bottom, pick Spaces under Select topic if other items were caught too.
Open the field in the bar, choose the value, and click Confirm in the dialog. Repeat for the next unit. See Batch edit.
See it on the floor plan
Click Layers and pick the field under Data Layers. Every value gets a color, with a legend; hover a color to see which rooms carry it. See Use your own data fields as layers.
Good to know
This is for mapping what serves what. A set of rooms that belongs together for a tenant or a contract is an area instead; see Create and edit areas.
The same field appears as a column in the Spaces table, so the mapping can be exported and checked in Excel.
If it doesn't work
The field is not under Data Layers
Layers color one floor at a time. Pick a floor first, and check that the field is on the spaces template, not only on assets.
I cannot select rooms
The select tool works on a floor plan, so the building needs a 3D model. See Vyer Light and Vyer Standard.

Statutory inspections in Sweden
The inspections Swedish property owners are expected to keep up with, how often, and how each is set up in Vyer.
📋 Most property owners in Sweden keep up with the inspections below. Each comes with its usual interval, as a starting point for setting them up in Vyer. It is a reference for planning, not legal advice; the rules change and depend on the building.
The list
Ventilation inspection (OVK in Swedish): every 3 years for schools, care homes and buildings with mechanical ventilation, every 6 years for most other buildings. Required by law.
Fire safety: a yearly review of the building's fire protection, with regular rounds in between that your organization carries out itself.
Lift inspection: every year, by an accredited inspection body. Required by law.
Energy certificate: renewed every 10 years, by a certified expert. Required by law, and fetched into Vyer from Boverket; see Fetch energy certificates in Sweden.
Radon measurement: every 10 years, or after a renovation that changes ventilation.
Electrical inspection: every 3 to 5 years, depending on the building and the insurer.
Playground safety: a yearly inspection, with monthly checks of the equipment.
Heating, plumbing and cooling: a condition check every 3 to 5 years.
Shelter: on request from the civil contingencies agency.
Set them up in Vyer
Each one is an inspection with its own inspection type, marked as statutory, on a schedule that matches the interval. A new organization starts with several of these types ready. See Set up a statutory inspection.
When an inspection body carries out the inspection, set them as the assignee or bring the result in automatically. Kiwa's results arrive through Q3web; see Connect Kiwa and Q3web. Keep the protocol on the inspection; see Attach the protocol.

Keep up with your Inbox
Assignments, comments and due dates that concern you land in your Inbox, and a red dot tells you when there is something new.
🛠️ Your Inbox collects what concerns you, such as a work order assigned to you or a comment on one you follow. A red dot on the bell tells you when something new has arrived.
Open the Inbox
On a computer, click Inbox in the side navigation, or press I. On a phone, tap Inbox in the bottom bar. Items are grouped under Today, Last week and Earlier, unread ones shaded, with more loading as you scroll. Opening the Inbox clears the dot.
What lands there
A work order or work request you follow is created, changes status, priority or due date, gets a photo or a comment, or is assigned to you.
You are added as a collaborator.
An inspection is created for you, renamed, gets a new due date or is assigned to you.
Reminders: This work order is due, This inspection is due, Warranty expires, and the reminders set on dates. See Set reminders.
Act on an item
Click an item to open the work order, inspection or asset in its card. It is marked as read. The check-all icon at the top, Mark all as read, clears everything at once. An item about something you no longer have access to disappears from the list.
Inbox and email
The same events reach you by email. The first one comes right away. Anything that follows within 10 minutes is bundled into one digest, You have N new notifications waiting for you, with a View inbox button, and an item you have already read in the Inbox is left out. Comments always come straight away.
Under Email preferences in Profile settings, you choose whether to get an email when a new work request is created, and whether to be added as a collaborator on every new work request, for all your sites or only My sites. See Choose which emails you get.
If it doesn't work
No dot, but there are new items
The app checks for new items every 30 seconds while it is online. Open the Inbox to see the latest.
Too many emails
Set both work request preferences to No or to My sites, and leave work orders you do not need to follow by clicking the bell on them.

Set reminders
Get a nudge before a date in Vyer comes up, a contract end or a warranty, and let Vyer remind assignees of due dates on its own.
🛠️ Set a reminder on a date, such as a contract end or a warranty that runs out, and the people you pick hear about it in time. Due dates on work orders and inspections remind their assignees on their own.
Set a reminder on a date
Open the item and click a date data field, or an asset's Warranty valid until. You need the Editor role or higher.
With a date in the future, the picker shows Select who should get a reminder and Select how long before the date comes up a reminder should be sent: a number of days, weeks, months or years, 1 week unless you change it.
Click Save. A bell on the field shows the reminder is set.
Each field on an item holds one reminder, and everyone you pick needs access to the item.
What the reminded person gets
At the start of that day, in the site's time zone, each person gets an item in their Inbox with the field's name and the date, or Warranty expires. It is also in their next digest email, under reminders or warranty expires soon, unless they have already read it. If you move the date, the reminder moves with it. A date that has already passed sends nothing. See Keep up with your Inbox.
Change or remove a reminder
Open the date again, change the people or the lead time, and click Save. Remove everyone and save to delete the reminder. Clear removes the date, and the reminder with it.
Reminders Vyer sends by itself
A work order with an assignee and a due date reminds the assignee 2 days and 1 day before the due date.
An inspection with an assignee reminds them the day before and on the due date, then every 7 days while it is overdue.
They stop when the work order is completed or rejected, or the inspection is completed. They cannot be changed.
If it doesn't work
The picker has no reminder fields
Reminders are set for dates in the future, and only by members who can edit the item.

Set up a public reporting form
Let tenants and visitors report a fault from their phone without an account. Each building gets its own link to a form you shape, and every report lands as a work request.
🛠️ Let tenants and visitors report a fault, like a dripping tap, from their phone without an account. Each building gets its own link to a form you shape, and every report lands as a work request with the reporter's details.
Turning the form on needs the Editor role or higher; shaping it needs Admin or Owner. Both are done on a computer.
Turn the form on for a building
Open Organization settings and click Public forms. Every site is listed with its buildings.
Tick Public form on the building. A building without an address asks you to confirm Enable public form, since only the site and building names will be shown.
Tick Show model in form if the building has a 3D model, so reporters can point at the room. Set a Form header text for the building, and on the site, the Name shown in form.
Shape the form
Click Edit form. Write the Header text every form shows.
Order the fields by dragging: Category, Description, Email, Images, Location, Name and Phone. On each, choose Make required or Make optional. Add new adds a text field of your own.
Add your Privacy policy link, and switch on Send confirmation emails to reporters when forms are submitted if reporters should hear back. Click Update.
The category list is fixed, from Heating/Cooling/Ventilation and Water/Drainage to Elevators, Cleaning and Other, and the field appears on the form only when it is required.
Share the link
Click Copy form link for the organization's form, where the reporter picks the building, or Copy link on a building's row for that building alone. Preview form shows what they will see. Put the link in the stairwell, in the lease, on the intranet. A QR code of the link comes from any QR generator.
What happens next
The reporter fills in the fields, points at the room on the floor plan or picks the Floor and Room, accepts the terms and clicks Send. The report lands under Work requests with the reporter's details. Members who asked for an email about new work requests get one, and those who chose to follow every new work request are added as collaborators. The reporter gets a confirmation email when that is switched on and they gave an email, and another when the status changes. See Keep the reporter informed.
If it doesn't work
Copy link is grayed out
The form is not turned on for that building yet.

🗺️ See a floor flat from above or in 3D, spin and center it, choose how much detail your computer draws, and hide the rooms that should stay private.
The view tools need a building with a 3D model and a selected floor.
Switch between 2D and 3D
Open the building and pick a floor in the floor selector.
Click Switch to 3D view in the toolbar at the bottom of the map, or press C. The same button, now Switch to 2D view, takes you back.
The keyboard does the rest while the map has focus: R and L rotate, + and - zoom, D centers the view, the up and down arrows change floor, and Esc steps back out of whatever is open. H is the hand tool for panning, V the select tool, and the space bar switches between them. Center view is also in the three-dot menu.
Choose the view settings
Open the three-dot menu in the toolbar and choose View settings.
Detail level: Low, Medium or High. Lower it on a slow computer. High is the default on a large screen, Medium on a small one.
Hide sensitive areas: see below.
Enable snapping: measurements snap to walls and corners. Hold Ctrl to measure freely for a moment. See Turn snapping on or off.
Show BIM areas: draws the model's own area outlines. X toggles it.
Turn table mode spins the building slowly, at the Rotation speed you set.
Reset to default puts everything back. The settings are kept in this browser, not on your account.
Switch to the satellite map
Click Layers and, under Map type, choose Satellite or Default. The choice colors the outdoor map and the ground under the 3D model, and lasts for the browser tab.
Hide sensitive rooms
Open the space that should stay private, such as a server room, and choose Mark as sensitive in its three-dot menu. With Hide sensitive areas switched on, the room's label and what is inside it are not drawn on the selected floor. The public reporting form always hides them.
On a phone
The toolbar is not shown. Tap Layers and open Map interactions: Tilt switches 2D and 3D, Center recenters, Distance measurement and Area measurement measure, and Fullscreen uses the whole screen. View settings is in the same menu.

Batch edit
Change the type, status, assignee or a data field on dozens of items at once instead of one card at a time.
🗺️ Select many assets, spaces, work orders or inspections and change a field on all of them at once.
You need the Editor role or higher, on a computer.
Select the items
In a table, tick the boxes at the start of the rows.
On the floor plan, hold Shift and click each item. Or press V for the Select tool and drag a box: with Shift it toggles, with Ctrl or Cmd and Shift it adds, with Alt and Shift it removes.
Right-click an asset and choose Select similar on this floor or Select similar in this building to take every asset of the same type.
A bar at the bottom reads, for example, 12 Assets selected. If you selected several kinds of item, pick one under Select topic. For assets, pick a type under Select asset type, since the data fields depend on it. Switch to table view lists the selection. Ctrl+Z undoes the last change to the selection, and Esc clears it.
Change a field for all of them
In the bar, open the field you want to change. A count behind a value says how many of the items share it; Multiple values means they differ.
Set the new value. The dialog asks Set for 12 selected Assets? Click Confirm.
What you can change depends on the kind of item: for assets, the Asset Type and the data fields of that type; for spaces, the room category, icon, areas and data fields; for work orders and work requests, Priority, Assignee, Status, Category, Due date and data fields; for inspections, the Assignee. Sites and buildings take their data fields from the Sites list.
There is no undo for the change itself. Filter the list down first, and check the count in the dialog.
If it doesn't work
The data field I want is missing
The selection holds assets of several types. Pick one under Select asset type.
Confirm fails for the whole selection

Connect a label to an asset
Open the asset's full card and choose Connect QR code in its three-dot menu. You need the Editor role or higher.
Type the code printed on the label, 4 to 16 lowercase letters or digits, and click Connect.
Vyer does not print labels. Order them from any label printer with one unique code each, and have the QR code point at app.vyer.com/code/ followed by the code. A code is used once in all of Vyer and stays with its asset; to re-label an asset, connect a new code.
Scan it
Point the phone camera at the label and open the link. Vyer opens the asset's card in the right organization. Someone who is not signed in sees the sign-in page first and lands on the asset afterwards. See Sign in to Vyer.

Add a 3D model to a building
Upload an IFC model to a building, match its floors to the ones you already have, and get the indoor map with every space.
🏢 Turn a building into Vyer Standard (Full Twin) by uploading its IFC model. Match the model's floors to the ones you already have, and everyone gets the indoor map with every space and wall.
You need the Admin or Owner role. Nothing on the building is lost: floors you created by hand keep their names and everything placed on them.
Upload the model
Open the building and its full card. Under Model, click Upload new model, or Update model when the building already has one.
Pick the IFC file. The file name ends in .ifc, and the model holds exactly one building with at least one floor. The File Upload dialog shows the progress.
A row appears under Model with the file name and Status: Uploaded.
Match the floors and confirm
Click the row. The Model upload confirmation dialog opens, or Model comparison when you are updating a model.
Under Story mapping, each floor in the model has a dropdown: pick the floor in Vyer it corresponds to, or Create new. Vyer proposes a mapping, lowest floor first; a heading in red needs your attention.
Click Continue. The status moves through Queued for conversion, Processing and Importing to Complete. The card refreshes on its own; leave the page if you like.
For an update, the dialog lists what the new file adds and removes, and the new file overrules the current one.
What changes
The building shows the Has indoor map mark, and its small card says View model.
Floors you mapped keep their names, order and everything placed on them; new floors take the model's names. Spaces come from the model.
The indoor map tools, measuring and the 2D and 3D views, are available on the building. See Navigating Vyer.
Create floor disappears from the floor selector, and a floor that holds model parts cannot be removed.
If it doesn't work
Unsupported IFC Schema or Unsupported file type

Vyer Light and Vyer Standard

🏢 Every building in Vyer is one of two kinds: Vyer Light (Instant Twin), made from map data in minutes, or Vyer Standard (Full Twin), built on a 3D model of the building. Both hold the same assets, work and documents, and a building moves from one to the other without losing anything.

A Vyer Light building has a footprint and floors, nothing more is needed. The footprint comes from official property data where Vyer has it, Lantmäteriet in Sweden, and from map data elsewhere. You add the floors yourself. On each floor you place assets, work orders and inspection tasks, run rounds, attach files and export the list. The building is shown on the outdoor map with its floor selector. See Add your first property.
Vyer Standard
A Vyer Standard building has an IFC model. With it come the indoor map, every space with its name and room number, the walls and doors, the 2D and 3D views, and the tools that need a drawing: measuring, data layers that color spaces, PDF export of the floor plan and drawing edits. The model is made by Vyer's modeling team or uploaded by an Admin. See Upload the model.
How to tell them apart
A building with a model carries the Has indoor map mark in lists and on the map, and its small card says View model instead of View building. In the Sites list, the Indoor map filter shows With indoor map or Without indoor map.
Moving between them
When a model is added, the floors you created are matched to the model's floors and keep their names and everything placed on them. Assets placed by their coordinates stay where they are. A building that loses its model keeps its floors, assets, work orders and files too.
Good to know
Spaces come with the model. A Vyer Light building has none, so work is placed on the floor rather than in a room.
Nothing about roles, work orders, inspections or the mobile app differs between the two.

Edit site details
Keep a site's name, address, description and data fields current, star the sites you look after, and fetch energy certificates in Sweden.
🏢 Keep each property's name, address, description and data fields current, star the ones you look after, and keep the energy certificates with the buildings.
You need the Editor role or higher to edit a site. Deleting one needs Admin or Owner.
Edit the site card
Open the site and its full card from the floor selector's menu, Open site detail card, or from the Sites list under Organization settings.
Click the name at the top to change it. Under Address, type the address and pick a suggestion, or choose Switch to GPS coordinates input and paste coordinates. Write a Description.
Fill in the site's data fields. Edit data fields in the three-dot menu, for Admins, sets which fields every site carries. See Create data fields.
The card also lists the site's Buildings, areas, assets, work orders, inspections, members and attachments.
Star the sites you look after
Click the star in the site's header, or in the Sites list, Add to my sites. Starred sites come first in the site and building selector, are a filter in every list, and can limit your email notifications. The star is yours; it does not change what others see.
Fetch energy certificates in Sweden
Energy certificates are kept on each building, from Boverket, the Swedish housing authority.
Open the building card and, under Boverket data, click Add energy certificates.
Enter the Municipality and the Property identifier, the property designation, and click Get latest energy certificates.
For each building, pick the right Certificate from the list. The card then shows the certificate id, energy class, energy performance and primary energy number, with the issue date.
Update information in the section's menu fetches the latest figures again. The Sites list has a column for each of these values.
Delete a site
In the three-dot menu on the site card, choose Delete site. Every building, floor, asset, work order and file on the site goes with it.
If it doesn't work
No energy certificates found
Check the municipality and the property designation against the deed. Certificates exist for buildings in Sweden only.
The address search finds nothing
Switch to GPS coordinates and paste the position from a map service.

Add a building and its floors
Place a building on its footprint, name it, give it floors in the right order, and fix its address.
🏢 Put each building on its footprint, name it, and give it floors from the bottom up, so every asset, work order and inspection has a floor to sit on.
Adding and deleting buildings and floors needs the Admin or Owner role. Editors rename and reorder them. If this is your first property, start with Add your first property.
Add a building on its footprint
Open the site on the outdoor map. Click Add new in the toolbar at the bottom of the map and choose Building.
A banner reads Click the map to place building. Building outlines light up as you move over them; click the right one. The building takes the outline's name where there is one, and its address is looked up for you. Click anywhere else to place a building without an outline.
The building opens in its card. Click Name your building if it has no name.
To add several buildings in one go, switch on Add multiple in the banner and keep clicking. You can also click an outline first and choose Add building on its card, or click Create new under Buildings on the site card and give the building a Name.
Create the floors
Open the building. In the floor selector on the right edge of the map, click Add first floor, or open its menu and choose Create floor. Each new floor goes on top.
Name the floors. Open the building card and, under Floors, give each floor a Name and a short name of up to 3 characters: it is what the floor selector shows. The first floor is called Entrance with the short name 0 until you change it.
Drag the floors into the right order, highest at the top.
A building with a 3D model gets its floors from the model, and the Create floor item disappears. See Match the floors and confirm.
Fix the address or move the building
On the building card, under Address, type the address or choose Switch to GPS coordinates input and paste coordinates. The move icon on the building's small card starts Click the map to place building again.
Remove a floor or a building
A floor: in the building card, open the floor's menu and choose Remove. A floor that holds parts of a 3D model cannot be removed.
A building: choose Delete building in the card's three-dot menu. Everything on its floors goes with it.
If it doesn't work
This building has already been added to this site
The outline you clicked is already a building on this site. Open it from the site card instead.
Building is outside the site boundary
The outline lies outside the property. Check that the right site is open.
Create floor is missing
The building has a 3D model, so its floors come from the model.

Work with spaces
Give every room its number, category and icon, keep its details in data fields, and color the floor plan by what you filled in.
🏢 Every room in a building with a 3D model is a space. Give it its number, category and icon, keep its details in data fields, and color the floor plan by what you filled in.
Spaces come from the building's 3D model. You cannot add or remove one by hand; a missing or wrong room is a drawing edit, see Report a drawing edit. Editing needs the Editor role or higher.
Edit a space
Click the room on the floor plan, or open it from the Spaces topic. Click Name your space to name it.
Fill in the Room number, pick the Room category, Commercial, Common or Technical, and an Icon such as WC, Kitchen, Staircase or Elevator. The icon shows on the floor plan.
Fill in the data fields and a Description. The card also lists the room's Connected assets, work orders, inspection tasks and attachments. Room ID is a number Vyer assigns and cannot be changed.
In the three-dot menu, Mark as sensitive hides the room's label and contents for anyone who has Hide sensitive areas switched on, and always on the public reporting form. Mark as outdoor tells Vyer the space is open air. Edit data fields, for Admins, sets which fields every space carries.
Find and compare rooms
Click Spaces in the side navigation. The list shows every room on the open site, building or floor, with Room number, Room ID, Sqm, Room category, Icon, Area and its connected assets and work orders. On a computer, View table edits room numbers, categories and areas in place, and Export downloads the list. Select several rows to set a category, an icon or an area for all of them at once; see Batch edit.
Color the floor plan by a field
Open a floor, click Layers and pick a layer under Data Layers: Room number, Room category or any data field on spaces. Each value gets a color and a legend. See Color a floor with a data layer.
If it doesn't work
The Spaces list is empty
The building has no 3D model yet, so it has no spaces. See Vyer Light and Vyer Standard.

Manage members and roles
Change what a member may do, limit them to some sites, renew an invitation or remove someone, from the Members page.
⚙️ Decide who is in your organization, what each person may do and on which sites, from one page.
You need the Admin or Owner role. Inviting is covered in Invite your colleagues.
Open the Members page
Open Organization settings and click Members. Every member is listed with Name, Last Active, Email address, Telephone number, Role and Created at. A pending invitation shows Invited, expires with the date under the name, or Invite expired. Search the list at the top, or Export it as an Excel file.
Change a role
Click the member's Role cell and pick Owner, Admin, Editor or Viewer. The change is saved at once, with access to every site.
To limit a member to some sites, pick Custom instead, or choose Edit member in the row menu. The Organization access dialog opens.
What each role may do is in Roles and what you can do. Two rules apply to who can change whom: only an Owner can make someone Owner, and you can only edit members at or below your own level.
Limit a member to some sites
In Organization access, set the Role to Editor or Viewer.
Switch off Allow editor to edit all sites, or Allow viewer to read all sites, and pick the Sites the member should have.
For an editor, switch on Allow editor to read all sites if they should see every site and edit only theirs. Click Update.
The member now shows the role Custom. When you take a site away from someone, they are unassigned from the open work orders and inspections on it.
Renew an invitation or remove a member
Renew invite in the row menu gives a pending invitation 7 more days and sends the email again.
Remove from organization takes the member out at once. They are unassigned from open inspections, and their notifications stop. Work orders assigned to them keep the name until someone changes the assignee.
A service account, or a member managed by your organization's identity provider, cannot be removed here. See Use the API with a service account and Sign in with SSO and provision users with SCIM.
If it doesn't work
Owner is not in the list of roles
Only an Owner can give the Owner role.

Sign in with SSO and provision users with SCIM
Let members sign in with the account they already use at work, and have their Vyer accounts created and closed from your identity provider.
🔑 Sign in to Vyer with the account you already use at work, and let your organization create and close Vyer accounts from its own directory.
Sign in with your organization account
On the sign-in page, click Sign in using your organization account.
Enter your work Email and click Next. You are sent to your organization's own sign-in. If you belong to more than one organization in Vyer, pick one under Select an organization to continue.
Sign in there as you always do. Vyer opens.
An account that signs in this way has no Vyer password. Only accounts your organization has provisioned can use it.
What the connection does
Single sign-on: your organization's identity provider, such as Microsoft Entra ID or Okta, confirms who you are. Vyer never sees your password.
Provisioning: your directory creates Vyer accounts with name, email and phone number. A new member joins as a Viewer; an Admin sets the role and sites in Vyer. See Change a role.
Deactivation: when the directory deactivates a user, they lose access to the organization at once and are unassigned from open inspections. Reactivating them brings them back as a Viewer.
Groups in the directory are not synced. Roles are set in Vyer.
On the Members page, these members show SCIM Managed: Yes.
Get connected
Vyer sets the connection up for your organization. Have ready: your identity provider's sign-on address, its signing certificate, and the name of the attribute that carries each user's email. Vyer gives you the identifier and reply address to enter on your side, and a token for your provider's provisioning connector. Contact support; see Reach us from the app.
If it doesn't work
Could not sign in with SSO
Your account has not been provisioned yet, or it was deactivated in the directory. Check with your organization's IT, and use the email address the directory has for you.
I want to reset my password
An organization account has no Vyer password. Sign in through your organization instead. The reset is for accounts with a Vyer password; see Reset your password.
A member kept the Viewer role
Provisioning creates every member as a Viewer. An Admin sets the role on the Members page.

🗂️ Keep drawings, certificates, manuals and photos with the building, asset or work order they belong to, and find them all again on one page.
Attach a file where it belongs
Open the site, building, space, area, asset, work order or inspection. Under Attachments, click Add new and pick the file. One file at a time. You need the Editor role or higher on that site.
A picture becomes an image with a thumbnail and a preview. Anything else becomes a document: a PDF opens in the viewer, other documents are downloaded.
The menu on an attachment offers View, Download and Delete.
The block shows the newest files first, with Show N more attachments for the rest, and switches between a grid and a list.
Find every file on one page
On a computer, click Files in the side navigation, or press F. Every image and document in the organization is listed with Name, Location, Added by, Date added, File type and File size.
Search by name, or click Filter to narrow by File type, documents or images, and Location.
Click a name to preview the file. Click its location to open the item it belongs to.
Upload on the Files page attaches files to a site or a building: choose where under Upload in..., then Select files to add several at once. Drawings of a building are best uploaded as DWG files.
Good to know
An image can be up to 64 MB and 80 megapixels. A document can be up to 1 GB.
Files are not part of the search box. Use the Files page to find them.
Floors have no attachments of their own. Attach to the building or the space.

Use the API with a service account
Let another system read and write your Vyer data through a service account with its own token and role.
🗂️ Connect another system to Vyer with a service account, a member that signs in to the API with a token and has a role like anyone else.
You need the Admin or Owner role.
Create the account
Open Organization settings, click Members and then Create a service account. Give it a Name that says which system it is for, and click Create service account.
The Edit service account dialog opens with the Token filled in. Click the copy button and store the token where the other system can read it. It is shown this once.
Set the Role. A new service account is an Editor on every site. Narrow it like any member, to fewer sites or to reading only, and click Update. See Limit a member to some sites.
The account appears in the members list with a robot icon.
Call the API
The other system sends GraphQL requests to https://app.vyer.com/graphql with the header Authorization: Bearer followed by the token. It sees and changes exactly what its role allows, and its changes show up in the activity log under the account's name. A token is valid for 10 years. Contact support for the API reference; see Reach us from the app.
Replace a lost or leaked token
In the members list, choose Edit service account in the row menu.
Click the refresh button next to Token and confirm Generate new token. The old token stops working at once.
Copy the new token into the other system.
A service account cannot be removed from the organization. To cut a system off, generate a new token and keep it to yourself, or set the role to Viewer.
If it doesn't work
The copy button says Regenerate to copy
The token is shown only right after it is created or regenerated. Generate a new one and copy it then.
Requests are answered with Token has been revoked

🗂️ Download any list in Vyer as an Excel file, with the filters you have set, for a report or a check against another system.
Export a list
On a computer, open the list: a topic such as Assets, Work orders, Inspections, Areas or Spaces, or Sites, Members and Asset types under Organization settings.
Set the filters first. The export holds exactly what the list shows.
Click Export above the table. The dialog names the count, for example Export 240 Assets. Click Export again.
The file downloads as an Excel workbook.
What the file contains
Each export has a fixed set of columns, plus one column for every data field in use on the exported items. The columns you chose under Customize do not change the file.
Sites has two sheets, Sites and Buildings, with the energy certificate columns on buildings.
Inspections has one row per inspection with its tasks grouped under it, each with the status Open, Overdue, Completed, Completed late, Skipped or Missed.
Assets includes a link back to each asset in Vyer.
An export holds up to 50,000 rows, and only the sites you have access to.
Export a drawing instead
Export a floor plan with its markers as a scaled PDF. See Export a floor plan as PDF.

Create data fields
Add the fields your organization uses that Vyer does not have, a contract number or a service interval, to sites, spaces, areas, assets, work orders or inspections.
⚙️ Need to track something Vyer has no field for, such as a contract number or a service interval? Add it as a data field and it appears on every site, space, area, asset, work order or inspection you choose.
You need the Admin or Owner role to define data fields. Editors fill them in.
Create a data field
Open Organization settings and click Data fields.
Click Add data field. Enter a Name and choose a Type: Text, Number, Date, Link, Checkbox, or Label for a list of values you manage yourself. Click Create.
A data field is defined once for the organization. The same field can sit on several kinds of item, and its type cannot be changed afterwards.
Put it on the items that need it
Fields reach items through a template: one for each asset type, and one each for all sites, spaces, areas, work orders and work requests, and inspections.
Open the template. From a site, building, space, area, asset, work order or inspection, choose Edit data fields in the three-dot menu. For an asset type, open it under Asset types.
Click Add data field. Choose Create new or Choose existing.
Drag the fields into the order they should be filled in.
Every item of that kind now shows the field in its detail card: the first two fields, then Show N more data fields. On a computer, Add data field in the table's Columns panel does the same; for assets, filter the list to one asset type first.
Restrict, rename or remove a field
Open the menu on a field in the template.
Restrict editing: only Admins can change the value. Everyone else sees Restricted by admin. Use it for values that come from another system.
Edit: rename the field. The new name applies everywhere the field is used.
Remove: takes the field off this template and deletes the values on those items. This cannot be undone.
Delete on the Data fields page removes the field from every template and deletes every value. The page's Amount column shows how often a field is in use, and Show N assets opens the items that carry it.
If it doesn't work
Remove and Delete are grayed out
The field is restricted. Choose Allow editing first.
I cannot change the type
A field's type is fixed when it is created. Create a new field with the right type and remove the old one.

Connect Kiwa and Q3web
If Kiwa carries out your inspections in Sweden, their results from Q3web land in Vyer as inspections on the right asset, with the protocol attached.
📋 If Kiwa, an inspection body in Sweden, carries out your statutory inspections, their results from Q3web land in Vyer as inspections on the right asset, with the dates and the protocol attached.
The connection is available in Sweden, where Kiwa operates.
What the connection does
For every asset that carries a Q3web registration number, Vyer creates an inspection named after the asset and the kind of inspection, under the inspection type you choose, with one inspection task carried out in Q3web.
The dates follow Q3web. The due date is the date the installation may no longer be used, so an installation under an operating ban shows as overdue. When Q3web reports the inspection performed, the task is completed.
Q3web's status text is kept as the task's note, and the protocol PDF lands under Attachments on the inspection.
The sync runs on a schedule and in one direction, from Q3web into Vyer. Nothing is written back to Q3web.
Get connected
Vyer sets up the connection for your organization. Have three things ready and contact support; see Reach us from the app.
Your organization's Q3web login.
A data field on assets that holds each asset's Q3web registration number. Create it under Organization settings, add it to the asset types that Kiwa inspects, and fill it in. See Create a data field.
The inspection type the synced inspections go under. See Mark the type as statutory.
Keep it running
Each registration number is used on one asset only. A number on two assets stops the sync until it is fixed.
Data fields filled by a connection can be locked by an Admin with Restrict editing, so nobody overwrites the synced value by hand. Members then see Restricted by admin on the field.
The inspections that Q3web creates are carried out in Q3web, not in Vyer. Open them in Vyer to see the status, the dates and the protocol.
If it doesn't work
An inspection does not appear
Check that the asset's registration number matches Q3web exactly and is not used on another asset. The sync runs on a schedule, so a new number takes until the next run.
The task name is in Swedish
The inspection task and its instructions are written by the connection, in Swedish.

Link inspection types
In the table, the Linked inspection types column names the kinds of inspection the type belongs in. Edit it in place. An inspection of that kind can then take its tasks from the asset type. See Add the tasks.
Edit, find and delete
Edit the Name and Category in the table or in the detail card.
Show assets with this type on a row opens the Assets topic filtered on the type. The Usage column shows the count.
Delete on a row removes the type. It only works when no asset uses it: the dialog says how many do, and asks you to change their type first.
Export downloads the table as an Excel file.
Changing an asset's type keeps the values it already has. A value from a field the new type does not carry still shows on the asset.

Use the quick chips for Category, Type and Created by, or click Filters to open Filter assets. Quick filters cover created date, category, type, who created it, whether it has Documents, Images or a Description, and Warranty (Expired or Active). Data fields lets you filter on the value of any data field.
Every filter you set has to match. Within one filter, any of the values you picked counts. Reset clears them all.
Your filters are remembered in your browser for each organization, so the list opens the way you left it.
Find it on the map
Click a row to open the asset. Show on the location banner takes the map to the asset.
Results based on the map view limits the list to what is on screen. On the outdoor map, Search this area does the same.
Right-click a space on the floor plan, or press and hold on a phone, to see N assets and list only those. Select similar on this floor and Select similar in this building select every asset of the same type.
Count the assets of one kind
Right-click an asset on the floor plan, or press and hold on a phone, and choose Select similar on this floor or Select similar in this building. Every asset of the same type is selected, and the bar at the bottom reads, for example, 70 Assets selected. For an element from the 3D model, every door or window of the same kind is selected, whether it has an asset type or not. Up to 1,000 are counted at a time.
See every field at once
On a computer, click View table. Every data field is a column, and the Type, Location, Name and Warranty valid until columns are there too. Customize chooses and orders the columns, and Export downloads the list, with your filters applied, as an Excel file. See Choose and reorder the columns and Export a list.
On a phone
The list replaces the table. Filters floats above the list, your search shows as a chip, and the search icon opens the portfolio search. There is no table or export on a phone.

Under Scale options, keep Fixed architectural scale and pick one, 1:50, 1:100 and so on, or choose Scale to fit the page.
Choose what to include. Include markers: assets, work requests, work orders. Include room labels. Include outdoor map, when the building has an address on the map. Include map layers, when a layer is coloring the map; the legend then lists each color with a count.
Click Export. The PDF downloads to your computer.
The markers follow the filters on the Assets and Work orders topics. Filter the list first and the drawing shows only those.
What the PDF contains
An A3 page in landscape with the floor plan, a header with site, building, floor, address and scale, your organization's logo when one is set, and a north arrow. The footer says who exported it and when. The file is named vyer-pdf-export followed by the date and time.
Export one asset, work order or area
Open the item and choose Export in its three-dot menu. The drawing is centered on the item, and the dialog offers what fits it: for an asset, Include Room ID, Export connected work orders and Include images; for a work order, Export connected assets, Include images and, for a work request, Include reporter contact details; for an area, Include data fields, Exclude measured area and Include room names for all rooms or only the area's. See Create and edit areas.
On the Areas topic, PDF export in the toolbar skips the dialog and exports the floor with every area marked and a legend of their sizes.
Good to know
The PDF is made in your browser, so a floor with many markers takes a moment. Up to 1,000 assets and 1,000 work orders are drawn.
There is no paper size or orientation to choose. Every export is A3 landscape.
If it doesn't work
There is no PDF export in the menu
The export needs a floor plan. Open a building; the outdoor map alone cannot be exported.
Export on an area is grayed out
The PDF is made from one floor. Select a floor that is part of the area.

Add and place assets
Add an asset where it stands on the floor plan, give it a type and a photo, and move or copy it later.
🏢 Every air handling unit, fuse box or fire extinguisher in a building is an asset. Add it where it stands on the floor plan, with a type and a photo, so others can find it when it needs inspecting or fixing.
You need the Editor role or higher.
Add an asset where it stands
Open the site, building and floor the asset is on. Tap Add new in the toolbar at the bottom of the map and choose Asset. With no site open, a dialog asks for the Site and Building first.
A banner reads Click the map to place asset. Tap the spot on the floor plan. Tap inside a space and the asset belongs to that space. On the outdoor map it is placed on the site. To add it without a marker, tap Skip in the banner.
The asset opens in its detail card as No name. Tap Name and type what it is.
You can also right-click the floor plan, or press and hold on a phone, and choose Add and then New asset.
Give it a type, a photo and its details
Select a type for your asset. The asset type decides which data fields the asset carries and which inspections it belongs in. Owners and Admins can create a new type from the same field. See Add an asset type.
Photo: tap the camera button on the card, or Add new under Attachments. On a phone the camera opens.
Warranty valid until, Description, and the data fields of the type.
Move or copy it
Relocate in the three-dot menu, or on the location banner, starts Click the map to relocate.
Copy asset makes a new asset with the same name, type and data fields, placed where you tap next.
Clear position removes the marker. The asset stays on the floor.
On a computer, hold Shift and drag a selected marker, or press M and drag.
To move an asset to another building on the same site, choose Relocate, pick the building in the selector and tap the new spot. An asset cannot move to another site.
To keep an asset without a floor or a building, open the location banner on its card and choose the empty line in Set story or clear the building. It then belongs to the building or the site as a whole.
Connect a QR code
In the three-dot menu choose Connect QR code and enter the code printed on the label: 4 to 16 lowercase letters or digits. Then Connect. Scanning the label with a phone camera opens the asset in Vyer.
If it doesn't work
There is no Asset in Add new
Viewers cannot add assets. Ask an Admin in your organization to change your role. See Get access when something is missing.
Tapping the map does nothing
On a floor plan the tap has to land on the drawing, a space or an asset, not on the empty area around it. Or tap Skip.
Zoom in to place a pin
On the outdoor map, zoom in closer to the building and tap again.
There is no Delete asset
Assets that come from the building's 3D model cannot be deleted. Only assets added in Vyer can.

Report a drawing edit
Report a wall that is not there or a room that has been split, straight from the floor plan, and follow the correction.
🗺️ When the floor plan does not match the building, report it from the spot where it is wrong. The drawing gets corrected, and your report stays as the record.
You need the Editor role or higher.
Report from the floor plan
Open the building and the floor. Tap Add new in the toolbar at the bottom of the map and choose Drawing edit, or tap Add drawing edit at the top of the Drawing edits topic.
A banner reads Click the map to place drawing edit. Tap the spot where the drawing is wrong.
The drawing edit opens in its detail card. Tap Name your drawing edit and write what is wrong. Put the detail under Briefly describe your drawing edit.
Mark it up
In the comment bar, tap Add annotation. Vyer takes a picture of the floor plan as you see it. Draw on it, pick a color and Thin or Thick, Clear to start over, and tap Send. The picture is attached to the drawing edit. Pan and zoom to the right spot before you start, since the picture is of the current view. Add image attaches a photo of the real thing.
What happens next
The drawing edit is assigned to whoever is responsible for drawings in your organization. Unless your organization has chosen someone else, that is Vyer's modeling team. Its status goes from Open to Acknowledged, In progress, On hold and Completed, or Rejected when the drawing is right as it is. You get an email when the status changes and when someone comments. Follow every drawing edit on the site in the Drawing edits topic.
A work order that turns out to be a drawing problem becomes a drawing edit with Convert to drawing edit in its three-dot menu, and back with Convert to work order.
If it doesn't work
There is no Drawing edit in Add new
Drawing edits are reported from a floor plan. Open a building. Viewers cannot report them; see what each role can do.
I cannot change the status
The status, assignee and priority of a drawing edit are set by the people who correct drawings, not by the reporter. Add a comment if something has changed.

Customize the table view
Choose the columns every list shows, sort and reorder them, and set one layout for the whole organization.
🗺️ Every list in Vyer, such as assets, work orders or members, can be shown as a table. Choose its columns and their order, and make your layout the default for everyone.
The table is shown on a computer. On a phone the same lists are shown as a list without columns, so there is nothing to customize there.
Open the table
Click a topic in the side navigation, for example Assets or Work orders. The list opens beside the map. If it shows as a list of cards, click View table at the top.
Click the same topic again to hide the table and see only the map. The button above the map, Show map or Show model, switches the other way.
Click a row to open the item's detail card. A cell you can edit in place, such as a name or a data field, opens for editing when you click it instead.
Choose and reorder the columns
Click Customize above the table. The Columns panel opens.
Tick a column to show it, untick it to hide it. Drag a column up or down to change the order.
Close the panel. The layout is saved as you go, for you, for this list, in this organization. You see it again on any computer you sign in from.
A data field column shows how many items in the list have a value in that field. Add data field at the bottom of the panel creates a new data field for the items in the list. See Create a data field.
A dot on the Customize button means your layout differs from the organization's. Reset to default in the panel takes you back to the organization's layout.
Sort and move from a column
Open the menu on a column heading to Sort ascending or Sort descending, or to Move left or Move right. The sort is part of your saved layout. In the asset table, Include in marker label shows that column's value under each asset's name on the floor plan.
Set the layout for everyone
Admins and Owners can make a layout the default for every member of the organization.
Arrange the columns the way the organization should see them.
Click the three dots next to Columns at the top of the panel and choose Save as organization layout.
Members who have not customized the list see the new layout straight away. Members who have keep their own layout until they click Reset to default. Remove saved organization layout in the same menu puts the list back to the app's own default for everyone.
If it doesn't work
There is no Customize button
The table and its settings show on a computer. On a phone or a narrow window the list has no columns to customize.
Save as organization layout is grayed out
The menu saves the layout you have changed. It is grayed out while your layout is the same as the organization's.
The three-dot menu is missing
Only Admins and Owners can set the organization layout. See what each role can do.

Use the Dashboard
One page with the numbers behind your portfolio: open work, inspections, response times and who is active, each one clickable.
📊 See how much work is open, what is overdue and how fast tenants get an answer, for the whole portfolio or one site. Every figure on the Dashboard opens the list behind it.
Click Dashboard in the side navigation, or tap Dashboard in the bottom bar on a phone.
Choose what it covers
Site and building: use the selector at the top. With nothing selected the figures cover the whole organization; pick a site or a building to narrow them. My sites sits first in the list.
Period: the chip at the top offers All, Today, Yesterday, Last 7 days, Last 30 days, This month and This year. It applies to the cards whose title ends in the period, such as Active tasks created this month.
A card's menu has Refresh to reload that card.
What the cards show
Active tasks: work orders and work requests that are Open, In progress or On hold, and how many are Overdue.
Active inspections: how many start within a week, are ongoing, or are overdue.
Tasks by category: work requests by the category the reporter chose, which is why a wrong category is worth correcting.
Response time for work requests and Closure time for work requests: the average time from creation to the first response, and from creation to completion.
Top active sites, Top contributors and Top trending assets: where the work happens, who does it, and which assets get the most attention. Number of changes made counts edits over time.
Total assets, Total net area in square meters, Buildings with indoor maps out of the total, and Platform sessions.
Click through
Every figure and every slice of a chart is a link. Click the overdue count and the Work orders list opens with that filter on, ready to assign, batch edit or export. Click a top asset and its detail card opens.
If it doesn't work
The numbers look too low
Check the period chip and the site selector. All and no site selected show the whole organization.

Set up an inspection
Build an inspection once: the tasks, who does it and how often, and let Vyer create each round on time.
🗓️ Set up an inspection once, and Vyer creates each round on its start date, assigns it and tells whoever does it. You need the Editor role or higher.
Create the inspection
Click Add new in the toolbar at the bottom of the map and choose Inspection, or Add new at the top of the Inspections topic.
Select a location for the inspection: the whole site, one building or one floor.
Select or create an inspection type, for example Fire safety inspection or Filter change. A new organization starts with a set of types; Admins and Owners add more under Manage inspection types in the same picker.
Click Add inspection. Give it a title and, under General instructions, write what applies to the whole round.
Add the tasks
Import tasks adds one task per asset: pick the asset types under Select types to import, and every asset of those types on the location becomes an inspection task, with the type's default instructions and subtasks.
Add inspection task adds a single check: name it, write Instructions, and place it on the map or connect it to an asset or a space.
Give a task Subtasks to collect answers: a checkbox, a text, a number or a list of options. A subtask marked mandatory has to be filled in before the task can be completed. Save instructions and subtasks for the asset type makes what you wrote the default for every future task of that type. Reorder with Move up and Move down, or Group inspection tasks by floor.
Set the schedule and the assignee
Click Edit inspection schedule. Set the Start date and the Length the round may take, in days, weeks, months or years.
Choose how often: Every day, week, month or year, every other, or every few, on chosen weekdays or a day of the month. Choose Schedule by start date or due date. Leave it Non-recurring for a one-off.
The card shows Next inspection will be created automatically on the start date, with its due date. To start a round today, click Start inspection now.
Set the Assignee. They get an email when a round is created and assigned, and see it under Inspections.
Reuse it
Copy inspection in the three-dot menu copies the inspection to one or more sites you pick under Location, with its type, instructions and schedule. Include inspection tasks takes the tasks and their subtasks along; tasks placed on the map or connected to an asset only follow a copy within the same site. Import inspection tasks adds one task per asset of the types you pick on each new site. The copy is named after the site and the inspection type, has no assignee yet, and starts without data field values.
If it doesn't work
Import tasks finds nothing
There are no assets of those types on the location yet. Place the assets first, then import.
The assignee has not heard anything
A round is created on its start date, not when you save. Check the date on the card, or click Start inspection now.
I cannot add an inspection type
Admins and Owners manage inspection types. Ask one, or pick an existing type.

Set up a statutory inspection
Keep the inspections the law requires in one place: mark the type as statutory, schedule it, and keep the protocol with it.
⚖️ Inspections required by law come with fixed dates and an auditor who will ask for the protocol. Keep them in one place with their dates, and find them with one click.
Mark the type as statutory
Open Manage inspection types. It sits in the inspection type picker when you create an inspection, and needs the Admin or Owner role.
Pick the type, or click New inspection type, and switch on Statutory inspection: Enable to mark this inspection type as required by law or regulation.
A new organization starts with a set of types, several already marked statutory, such as Ventilation inspection, Elevator & lift and Electrical audit. Check them against what applies to your buildings and your country.
Set up the inspection
A statutory inspection is set up like any other: pick the location and the type, add the tasks, set the schedule to the interval the rule gives you, and set the Assignee, often the contractor or inspector who performs it. See Set up an inspection. An external inspector needs a member account on your sites; see Invite a member.
Find them with one click
In Inspections, the inspection type filter groups every statutory type under Mandated inspection, so one choice lists everything required by law across the selected site or the whole portfolio. Filter on Status to see what is Upcoming and what is Overdue; an inspection past its due date shows as Overdue from the next day.
Keep the protocol
When the inspection is done, put the record where the auditor will look. Under Attachments on the inspection, click Add new and upload the protocol as a PDF or photos. A report that lives elsewhere goes under Link; it opens in a new tab from the card. Photos taken during the round stay on the task they belong to. If Kiwa performs the inspection in Sweden, the protocol arrives on its own. See Connect Kiwa and Q3web.
If it doesn't work
I cannot switch on Statutory inspection
Inspection types are managed by Admins and Owners. Ask one to mark the type.
An inspection is missing under Mandated inspection
Its type is not marked statutory. Mark the type, and every inspection of that type follows.

Carry out an inspection
Open the inspection, walk the tasks, mark each one, and complete the round, on a computer or on your phone.
📋 When an inspection is assigned to you, walk its tasks and complete the round, on a computer or on your phone.
Open the inspection
Click Inspections in the side navigation, or on a phone tap the Inspections topic. Filter on Status to find yours: Upcoming, In progress, Overdue or Completed. The email An inspection was assigned to you takes you straight there.
The inspection lists its tasks, each placed on the floor plan. Click a task to see where it is. Group inspection tasks by floor sorts them the way you will walk. Show instructions opens what the person who set it up wrote.
Going somewhere without signal? Download the inspection first. See Download an inspection.
Resolve each task
Open a task and read its Instructions. Fill in the Subtasks: a checkbox, a text, a number or a choice from a list. A subtask marked mandatory has to be filled in before the task can be completed.
Write what you found under Document what you found and Add a photo if it helps the next person.
Click Mark complete. A task you cannot do today gets Skip task instead.
Found a fault? Click Add work order on the task. The work order is placed with the task and linked to the inspection, so it can be fixed after the round without losing where it was.
Changed your mind? Reopen task clears its subtask values and note; photos and work orders stay.
A number or text you enter in a subtask, a meter reading for example, stays on the task: open the task later to read it. The Excel export of inspections lists the tasks and their status, not the values.
Complete the round
When every task is resolved, the inspection reads Every task is resolved. The inspection can now be completed. Click Complete inspection. With tasks still open, the dialog says how many and offers Complete all or Skip tasks. Completing needs a connection. The status can be changed back later if something was missed. A signed protocol goes under Attachments on the inspection with Add new.
If it doesn't work
Mark complete is grayed out
A mandatory subtask is still empty. Fill it in first.
Complete inspection is not available
You are offline. Finish the tasks, go online, and complete the inspection then.
The list says no inspections exist at this site
Inspections are set up per site, building or floor. Check that the right site is selected. If there are none, ask an Admin or Editor to set one up. See Set up an inspection.

Work with work requests
Handle what tenants and visitors report through your public form: who is told, how to answer the reporter, and how to close it.
📨 A work request is what a tenant or visitor reports through your public form, placed where they marked it. Take it from Open to Completed and keep the reporter informed on the way.
Where requests arrive
A work request is submitted through the public reporting form, without a Vyer account. It appears under the Work orders topic with the type filter set to Work requests, on the site the form belongs to.
Who is told depends on each member's own settings: in Profile settings, choose whether to get an email when a new work request is created, for all your sites or only My sites, and whether to be added as a collaborator on every new one. See Choose which emails you get. A reporter who left an email address gets an automatic confirmation.
The card shows the Reporter with the contact details they gave, the Category they picked, their description and photos, and the marker they placed. Correct the category if they picked the wrong one; the Dashboard counts requests by category.
Handle it
A work request has the same card as a work order: set an Assignee, Priority and Due date, add Collaborators, connect it to a space or asset under Relation (room or asset), and write internal notes under Add a comment.... Comments are for members; the reporter never sees them.
Change the Status from Open to In progress, On hold, Completed or, for a request that is not yours to fix, Rejected.
Keep the reporter informed
When you change the status, a dialog opens with a ready-made message, such as The issue you reported is now in progress in your site. Edit it if you like and click Save & send email, or close the dialog to change the status without writing.
To write at any other time, open Communication with reporter on the card and click Send new message. Every message sent is listed there. Messages go by email to the address the reporter gave; a reporter who left none cannot be reached.
Reporter messages can be switched off for an organization, a site or a building. The card then says Reporter messages are disabled for this issue.
Close or remove it
Set the status to Completed when the job is done. Only Admins and Owners can Delete work request; everyone else keeps it as a record. Edit public reporting form in the card's menu opens the form the request came from.
If it doesn't work
No email arrived when a request came in
Check your own choice in Profile settings, and whether the site is under My sites if you chose that option.
The reporter did not get my message
The reporter left no email address, or reporter messages are switched off for this site. Look for the note on the card.
I cannot delete a request
Deleting is for Admins and Owners. Set the status to Rejected or Completed instead. See what each role can do.

Work with work orders
Create a work order where the job is, give it an assignee, priority and due date, and follow it from Open to Completed.
🛠️ A work order is one job placed on the floor plan, with who does it and by when. On a phone, see Create a work order from your phone.
You need the Editor role or higher. Viewers can read and comment.
Create a work order
Open the site, building or floor where the job is. Click Add new in the toolbar at the bottom of the map and choose Work order, or click Add work order at the top of the Work orders topic. With no site selected, the Add new dialog asks for a Site and Building first.
A banner reads Click the map to place work order. Click the spot on the floor plan, a space or an asset. To create it without a marker, click Skip in the banner.
The work order opens in its detail card with the status Open. Click Name your work order and type what is wrong.
Fill in the details
Assignee: the member who does the job. They get an email with a link to the work order.
Priority: Low, Normal or High.
Category: what kind of fault it is, from Heating/Cooling/Ventilation and Water/Drainage to Elevators, Cleaning and Other. The same list is used for work requests and as a filter.
Due date.
Description: what needs to be done, for whoever does it.
Collaborators: members who follow the work order and get its notifications.
Relation (room or asset): the space or asset the job is about, so it shows on that item too.
Add image, and the Data fields your organization has added to work orders.
Keep it moving
Change the Status from Open to In progress, On hold or Completed. Everyone with access to the site can write under Add a comment...; Editors can also add photos. The creator, the assignee, the collaborators and anyone who has clicked the bell (Receive notifications about activity on this work order) get an email. It goes out when the status, priority or assignee changes, when the work order is completed and when someone comments. Several changes within a short time arrive as one summary email. You never get an email about your own change.
Find the ones that matter
The Work orders topic lists every work order on the selected site, building or floor. Filter on Status, Priority, Category and Due date, with shortcuts for Today, This week, Next week and Past. Switch to the table view to edit many at once, and click Export to download the current list as an Excel file.
More options
The three dots on the detail card hold Relocate, Clear position, Convert to drawing edit, Export as a PDF of the floor plan with the work order marked, and Delete work order. Edit data fields is for Admins and sets which data fields every work order carries.
If it doesn't work
There is no Add new or Add work order
Viewers cannot create work orders. Ask an Admin in your organization to change your role. See Get access when something is missing.
Clicking the map does nothing
On a floor plan the click has to land on the drawing, a space or an asset, not on the empty area around it. Or click Skip to create the work order without a marker.
The status or due date is grayed out
Some organizations let only Admins change the status or the due date. Ask an Admin.
Nobody got an email
Only the creator, the assignee, the collaborators and members who clicked the bell are notified, and never about their own change. Several changes in a short time are bundled into one email.
