Rolling out the new system is part of a larger pilot project launched by property company Mimer, focused on modernizing drawing documentation by converting it to 3D drawings for a larger number of properties.

The 20,000-square-meter office property Navet also lacked a smart digital solution for handling work orders, but has now started using the Vyer platform for this.

"Last year, when the building was newly occupied, we received 500 fault reports just for Navet. We collected it all in an Excel file, which got pretty heavy."

With the new system, fault reports are instead logged directly in the 3D drawings, which function as digital maps of indoor and outdoor environments. As with traditional systems, work orders can be sorted in a table view, but on top of that, operations and management staff also get a visual overview of exactly where in the building the work needs to be carried out.

"There are so many tricky little spaces that some contractors need a guide to find their way around, and that's not always convenient. Being able to send them a link with a description of the work order along with the location, so they can easily find it, will make things easier."

The platform also makes it possible to communicate with staff and external contractors about work orders and repairs, directly tied to the location or equipment where it was reported.

An important part of the change process going forward is about shifting habits and routines internally, according to Stefan Wahlby.

"If I log a fault report, they get an email and might go check it out, instead of me having to call and say this needs to get done — so it's about everyone starting to use the system."

What effects do you see Vyer having on operations and management at Navet?

"All of this is about making our own work easier. It's convenient to be able to send a fault report straight to the contractor who needs to fix something instead of writing an email. If tenants can get automatic follow-up and track their case, we'll save time."
