The digital copy is being built in Vyer's platform. The system contains both updated floor plans for the properties and information covering everything from spaces and components to work orders, rounds and other activities.

How have you structured the work of collecting such large amounts of data?

"My property manager and I, in consultation with our operations manager, decided which components are most important to get into the system. We then developed a strategy for how to involve our property technicians in the documentation process."

By breaking the work into manageable steps with specific goals for each property, the process has been straightforward to follow.

"Each property has been assigned a month by which the selected components must be entered. The idea was that for a given property in a given month, staff would take the opportunity to inventory components while already on site."

In the first quarter, for example, the focus was on adding information about where keys to shared spaces are located, to make things easier for staff, on-call personnel and external contractors alike. Today, the digital copy contains components linked to fire safety, heating, ventilation, air handling, electrical distribution boards and much more.
